Content publishing approval lets you set up a review and approval workflow for Presentation updates before they go live on your displays. This feature gives your company more control over the content that appears on your digital signage, as well as a great option for schools that want student involvement maintaining content while keeping checks in place for content review.
Prerequisites
- A user must only have the Content Editor role in order to send content for review. The company account also requires at least one other user with the Content Publisher role. Follow this article to learn more about user roles.
Instructions
For Content Editors
- Edit or create a Presentation. Once you make changes, the Presentation will move into Draft mode.

When finished making your changes, click Send for Review.
- Select one or more Content Publishers in your company to review the Presentation. Optional: Add notes for the Content Publisher.
- Click Send for Review. The Presentation status will update to Pending Review, and an email notification will be sent to the selected Content Publisher(s).

If the Content Publisher requests changes, a message will be send back to the Content Editor. The Presentation will return to Draft mode. Make your updates and send it for review again.
For Content Publishers
- Open the email notification or go to your Presentations list. Pending items are labeled Pending Review.
- Review the Presentation.
- Choose one of the following:
- Request Changes – Send the Presentation back to the Content Editor with notes. The Presentation will return to Draft mode.
- Publish – Approve and publish the Presentation immediately.
- The Content Editor will receive an email confirmation when the Presentation is published.
Using Parent-Company Reviews
By default, Content Editors in a sub-company can only send review requests to Content Publishers in their own company. If the parent company enables the Allow Sub-Company Reviews setting, Editors in sub-companies can also request reviews from Publishers in the parent company. This setting is controlled at the parent company level and applies to all sub-companies.
To enable parent-company reviews:
- Sign in to the parent company account.
- In the left menu, click Company Settings.
- Toggle the Allow sub-company reviews setting On.
Behavior Notes
- This feature is available on Enterprise and Unlimited plans only.
- If there are multiple Content Publishers in the account, any Publisher can approve any Pending Review content, not just the user that was notified.
- If a company wants to opt out of using this feature, assign users the role Content Editor and Content Publisher permission.
- The Teacher role is excluded from the workflow and can publish updates without approval.
